Job Title: Executive Assistant and Board Clerk

 

Qualifications: Staff in this role must demonstrate a high level of professionalism and be able to work independently and collaboratively with executive staff and the public.  

 

Special Considerations:  Prior professional clerical experience required. Superior Technological Skills are required.  Experience working for the NC public schools preferred.

 

Reports to: Superintendent 

 

Supervises:  N/A

 

Purpose of Position: 

Under executive direction, the purpose of the position is to provide moderately complex and specialized administrative support to the Superintendent and administrative support to the Board of Education. Administrative assistants in the executive role function at an expert level and are accountable for the accuracy of both routine and non-routine administrative support duties.  

 

Responsibilities, Duties, & Expectations:  

  • Serves as the clerk to the board of education 
  • Develops and generates correspondence and materials for the Superintendent
  • Generates articles, memos, agendas, reports, forms, manuals, or other relevant materials as needed 
  • Attends meetings, conferences, and briefings to document subject matter concerning amendments and developments impacting the Superintendent
  • Takes and transcribes minutes from dictating equipment for board meetings, administrative meetings, or proceedings
  • Performs a variety of complex and specialized administrative support functions, e.g., analyzing data, typing, report processing, and documentation verification. 
  • Compiles prepares, and may be responsible for distributing various special reports, notices, and other relevant materials for public board meetings
  • Demonstrates strong customer service skills via, phone, email, or in person on behalf of the Superintendent.  
  • Performs a variety of critical record-keeping duties 
  • Coordinates logistics and travel arrangements for conferences, meetings, and seminars for the Superintendent and board of education
  • Maintains board policy manuals and keeps historical records
  • Demonstrates a high level of confidentiality and professionalism 

 

Evaluation and Measurement of Performance: 

 

Periodic Performance Check-Ins and the Annual MGSD Clerical Classified Employee Evaluation

 

Terms of Employment:  12 months  - MGSD Pay Grade NC 13
